Purpose and legal basis of data processing (Article 13 para. 1 c GDPR)

At the event, sound, image and video recordings are created and published for documentation purposes as well as for the presentation of the event in publicly accessible media, on websites and blogs and for presentation on social media.
By participating the event, the participant implicitly consents to the aforementioned photo and/or video recordings (and the processing of the personal data) for the organiser‘s own purposes (Art. 6 para. 1 a GDPR), in particular for advertising the organiser and products/services offered by the organiser on the organiser‘s website, on social media presences (e.g. on Facebook or Twitter), on video platforms (e.g. Youtube), as part of commercials and image films, for advertising in affiliate links, in print media, on posters, on flyers and in electronic and postal advertising letters, or to have them used by third parties on behalf of the organiser. In particular, the organiser is entitled to distribute the recordings, to reproduce them in public and to make them perceptible, to broadcast them, to exhibit them and to make them publicly accessible via internet.
If special personal data according to Art. 9 para. 1 GDPR are affected by the image and video recordings (e.g. wearing a headscarf/hijab or glasses), the consent also refers to such information (Art. 9 para. 2 a of the GDPR).

Recipients or categories of recipients of the personal data (Article 13 para. 1 e GDPR)

Are photographers, associated companies, hosting service providers, public media, social media providers (Instagram, LinkedIn etc.), IT service providers, software-as-a-service providers.

Withdrawal of consent

In principle, we endeavour to present the event itself with the sound, image and video recordings and not to highlight any individual persons in particular without explicit recognisable consent. If you do not wish to be recorded, please do not attend the event. If you do not agree to a recording after the event, you can withdraw your consent for the future at any time using the contact details provided above. The lawfulness of the data processing until the withdrawal is not affected by this.

Transfer to third countries (Article 13 para. 1 f GDPR)

We would like to point out that image, sound and video recordings published in the aforementioned media can be accessed freely. In this regard, it cannot be ruled out that retrievals will be made by persons outside the EU. In addition, we would like to point out that the social media providers mentioned operate their services in the EU, however the data may also be processed outside the EU. In particular, data may be transferred to the US. The US is not a safe third country. It cannot be ruled out that your data will be used for other purposes without your knowledge and that you will not be able to exercise your rights as a data subject. In particular, this cannot be ruled out by law enforcement and intelligence agencies.

Storage period in accordance with statutory storage obligations (Article 13 para. 2 a GDPR)

Photo and video recordings of data subjects will be deleted, if the data subjects assert their legitimate claim for erasure or if the recordings are no longer needed for the presentation of the organiser or the event and if there are no indications that image rights have been infringed or can be infringed. Furthermore, we would like to inform that it is possible that photo and video recordings that are posted on the internet may not be completely erasable.
